WANTED: Gifted Administrator with a social conscience

media co-op's small team of creatives needs a highly organised and proactive Administrator to make our projects and our office run more smoothly.

We produce films and digital media for charities and other ethical clients. Every project is different, and we always have a number of projects running in parallel.

We are looking for someone who will enjoy bringing more order to our friendly, busy office. 

You are someone with the experience, talent and vision to improve and administer our existing set-up, and to help us flourish. In the past, you might have worked as an Office Manager or a Senior PA.

 

Essential Skills and Experience

Project Administration

You will have experience of project administration from the point the contract is signed to delivery of the finished product.  This is a key part of our business and you will need to proactively review all productions on a daily basis to ensure that every project runs smoothly in order to support the work of the Producers and the Production Manager.

Office Administration

You will be passionate about organising documentation, information and data in key areas, including:

       projects

       financial

       human resources

       general management

       archiving

You will know how to set up and maintain a fit-for-purpose shared contacts database.

You will monitor stationery and other supplies and place orders with suppliers before things run out; and place orders for technical kit as identified by your colleagues.

Finance

You will have experience of supporting financial systems, including financial data entry and filing. You will be an expert with Excel and also familiar with SAGE Line 50. 

Bookings

You will be adept at arranging and confirming your colleagues meetings with clients and others.

You will be responsible for booking travel, car hires, accommodation etc for film crews.

Meetings and Communication

You will be able to take minutes at team meetings with clear action points; and be able to follow up key decisions and outcomes and when necessary remind your colleagues of their action points. 

Youll handle mail coming into the office and when colleagues are on leave, youll keep an eye on their email and forward anything requiring action to another relevant colleague or dealing directly with it.

General

You will be great with the relevant software packages and happy working across both online and paper-based environments.

Though you may be happier working with either a PCs or Apple Mac, having to deal with the other one wont phase you.

You will take your share, along with the rest of the team, in day-to-day office tasks like answering the phone, taking messages, welcoming clients, etc.

 

Desirable Experience

Knowledge of  the production process for corporate video, digital media or TV production would be an advantage.

On the other hand, we are not looking for a frustrated film-maker who will do a bit of admin work to fill in time. We are looking for someone who really gets job satisfaction from making an office run more smoothly and effectively.

If you dont know this industry at all, but you are willing to learn how our production process works, we want to hear from you.

Some understanding of the Third Sector would also be a great advantage. This could be either professional experience, or volunteering in your spare time.

By Third Sector we mean charities and voluntary organisations, also social enterprises and co-operatives. mediaco-op and our clients are all Third Sector.

 

Salary and hours

£18K pro rata. Part time 25 hrs a week. Part time hours will be flexible and negotiable; we aim to be a family-friendly company and the p/t hours would particularly suit someone with caring responsibilities at home.

Initially a six month contract, with intention to go on to permanent contract.

Skye film kick off

Award-winning Director Robbie Fraser, ex-BBC senior researcher Iain Macaulay and junior researcher Shona Mackenzie join media co-op's Louise Scott, Lorna Ferguson and Lucinda Broadbent to kick off the production of our BBC social history film for the BBC. Our documentary will tell the story of the battle of the people of Skye against the Bank of America and the tolls on the Skye Bridge - Britain's first PFI

media co-op's animation "Mikey and Jools" has won another award, this time a coveted Gold Plaque at the prestigious Chicago International Film Festival.

 

Winning in the Education category at the Intercom festival in Chicago, the film was commissioned by Scottish Women's Aid and the CEDAR programme. Congrats to everyone involved

a bridge too far

mediaco-op has been commissioned by BBC Alba to make a documentary telling the inside story of the Skye Bridge toll protests. It's an inspiring David and Goliath tale of a community’s successful battle to bring down the UK's first PFI scheme.

mediaco-op is proud to announce our animated film has won an award at the US festival Accolade, recognising "exceptional achievement in craft and creativity, standout production, and unique voices".

mediaco-op produced "Micky and Jools" for CEDAR, who work with children and mothers recovering from domestic abuse. The film won an award of merit in the educational category.

Two mediaco-op films have been selected for Document 9, the International Human Rights Documentary Film Festival

  

Both are participatory films: "Give us a Chance" made a group of teenagers in care, and "Courage" made a group of refugees and asylum-seekers.

mediaco-op's new DVD has sparked a Parliamentary Motion that "welcomes the short film "Pleasure v Profit"...and calls on the Scottish Government to recognise the connections between the mainstreaming of pornography and the intense pressure on young people to behave and present themselves in a sexualised manner".

'Courage' is released in 50 venues across Scotland, from Stornoway to Lerwick to the Borders, via the Edinburgh Film Festival. Made for the Scottish Refugee Council by a group of refugees, facilitated by mediaco-op, the 2-min film can be seen in cinemas, shopping centres, schools and libraries, celebrating 60 years of the Refugee Convention.
